Overview

RGS is seeking a correspondence coordinator to support a Navy Customer. OPNAV N4 Secretariat (N4S) reports directly to the Executive Assistant to the Deputy Chief of Naval Operations, Fleet Readiness and Logistitcs (OPNAV N4).  N4S serves as the clearing house and coordinating authority for all taskers (Navy, Defense Department, and Congressional) and Navy issuances requring coordination within N4. N4S requires contractor support to assist with the identification, routing, and tracking of all taskers received by N4. This resource will serve as a liaison beween N4 and the N4 divisions, as well as to external Navy contacts (e.g., staff members in Director Navy Staff and Secretary of the Navy) for all matters related to N4 correspondence, directives, awards, and staffing needs.  The resource will also complete all instruction packages for successful routing of all N4 and will learn how to generate data and reports from the authoritative databases used by N4. 

Responsibilities

  • Track taskers for compliance with timelines and workload analysis.
  • Identify new taskers and direct them to the appropriate N4 representative/branch; track taskers routed through N4,.
  • Serve as liaison to the N4 Front Office for all matters related to N4 correspondence, directives and awards: updates, routing, tracking, etc.
  • Review and edit all packages for grammar and correct formatting.
  • Completes instruction packages for successful routing through N4 to DNS.
  • Resolve administrative, formatting, and non-technical DNS/DNS-15 comments and foster positive progress with the Action Officers on instructions as they move through the finalization process.
  • Assist Action Officers with processing instructions in accordance with N4 processes for getting through N4 senior leadership approval.
  • Generate data and reports from the authoritative databases used by N4.
  • Enable and train new users on how to use authoritative databases (TV5, TV3, DONTRACKER, CIMS)

Qualifications

Required Skills:

  • Expert understanding of Word, word processing, and formatting

  • Ability to learn the OPNAV Tasker systems (SIPR TV-3, TV-5), DON Tracker, and CIMS.

  • Ability to learn how to generate data and reports from the authoritative databases used by N4.

  • Ability to learn relevant formatting in the Department of the Navy Directives Manual.

  • Strong Excel skills.

  • Ability to multitask and rapidly re-prioritize if necessary.
