Overview

RGS is seeking an Administrative Assistant to support a contractor project team providing modeling and simulation support for the Navy’s Fleet Readiness Division (OPNAV N83). The client organization’s programs include ship, submarine and aircraft operations and maintenance programs, Fleet training and readiness reporting programs, Navy expeditionary combat operations and maintenance programs and Navy ranges. This position will provide a range of support that includes administrative support to a multi-disciplined project team including client executives, IT programmers, and data analysts, as well as military and civilian client personnel who visit the project work location.  The candidate must be comfortable in a fast paced, changing environment, and be able to multi task while producing solid products under short deadlines. Candidate will be expected to maintain a high customer service focus with attention to detail, accuracy, and on-time delivery. Must have strong written and verbal communications skills and be highly motivated to excel. 

 

This role allows for partial telework during the week.

Responsibilities

  • Assist in coordinating schedules, tracking tasks, and responding to inquires.
  • Answer and direct phone calls.
  • Assist with the proper distribution of unclassified and classified documents.
  • Perform organizational responsibilities required to manage supplies, office appearance, availability of conference room space, and other office administrative needs.
  • Maintain overall schedule of organization’s externally driven taskers in support of Navy, DoD and Congressional requirements by coordinating with assigned task leads to ensure that completed responses are submitted on-time and in proper formats.
  • Provide support in the preparation, review and delivery of program briefing materials to command, Navy, and DoD leadership. Over time the expected level of input to the content and messages of these materials is expected to increase as the candidate becomes familiar with the team’s operations and strategy.
  • Identify areas for organizational process improvements and implement changes to improve efficiency and effectiveness of front office coordination activities with the project team and stakeholders.

Qualifications

  • Minimum of 5 years of experience in preparing technical documentation, including conducting investigation on applicable documentation standards and the preparation of technical reports and documents
  • Strong written, verbal communication skills; attention to detail; and ability to multi-task
  • Administrative support or customer service experience
  • Intermediate to Advanced knowledge of MS Word, MS Excel, SharePoint, and MS PowerPoint
  • Navy organizaiton experience a plus
  • Experience using and managing tasks in DON tracker
